Take care of our clients/guests by anticipating their needs and make the best customer experience. Provide support on front office duties and administrative tasks.
Receptionist:
- Greet and take care of customers and guests
- Organize clients meetings: rooms reservation, serving drinks, cleaning-up
- Prepare business lunches in-house
- Set up video conferences
- Answer and forward incoming calls
Front office Assistant:
- Manage cash transactions (deposits and withdrawals, change, etc.)
- Coordinate incoming and outgoing mail
- Enter invoices using the internal IT tool
- Provide general secretarial tasks (scanning, copying, etc.)
- Organize travel, hotels and restaurants for Relationship manager and local Management
- Ensure relationship with suppliers (office supplies, couriers, mail, etc.)
- Manage the access control and badges
- Backfill colleagues Assistant Relationship Manager as needed
Administrative and logistical support:
- Support local Management team on administrative tasks and projects (correspondence, managing lists, etc.)
- Organize meetings, coordinate agendas and prepare meeting minutes
- Collaborate with Facility Management and Security Management in Geneva
- Support Facility Management and local Management on logistical matters such as workplaces/collaborators moving in premises, coordination of local craftsman
Professional experience and Education:
- CFC of commercial employee or diploma in hospitality – training deemed equivalent
- Minimum 5 years’ experience in handling visitors and clients at front desk
- Minimum 5 years’ experience at front desk or in front supportive function
